Location: Missoula, MT
Position Type: Part-Time (Approximately 32 Hours per Week)
Schedule: Monday-Friday
Compensation: $20.00-$22.00 per Hour DOE

What You'll Do
As a Project Administrator, you'll provide both office administration and project support across a variety of functions.
Administrative Support
- Perform data entry, document preparation, formatting, proofreading, and final document production
- Scan, file, organize, and maintain physical and electronic records
- Answer phones, greet visitors, and receive deliveries
- Maintain office supplies and assist with general office operations
- Support various administrative projects and special assignments as needed
Project Coordination
- Coordinate meetings, conference calls, and project-related logistics
- Reserve conference rooms and assist with scheduling activities
- Support project teams by maintaining accurate project documentation and records
- Assist with project setup and ongoing project file management
- Track subcontractor documentation, insurance certificates, vehicle logs, safety approvals, and project compliance records
- Help ensure project information is organized, accurate, and readily accessible
Billing & Documentation Support
- Assist with preparation and processing of client and vendor invoices
- Coordinate with billing specialists to support monthly invoicing activities
- Review documents for accuracy, completeness, and consistency
- Maintain records related to project expenses and documentation requirements
Office Operations
- Help monitor office and vehicle maintenance schedules
- Support day-to-day office efficiency by proactively identifying administrative needs
- Manage multiple assignments and deadlines while maintaining a high level of accuracy
- Collaborate with team members to support overall business operations
What We're Looking For
Required Qualifications
- High School Diploma or equivalent
- 3-5 years of administrative experience in a professional office environment
- Exceptional written and verbal communication skills
- Strong proofreading, editing, and document preparation abilities
- Advanced attention to detail and organizational skills
- Proficiency with Microsoft Office Suite, including:
- Word
- Excel
- Outlook
- PowerPoint
- Experience using Adobe Acrobat and web-based applications
- Strong customer service and interpersonal skills
- Ability to prioritize multiple projects and deadlines effectively
- Self-motivated, dependable, and capable of working independently
- Strong team collaboration skills
Preferred Qualifications
- Associate Degree or higher
- Experience in construction, engineering, environmental consulting, or a related industry
- Previous project administration experience within a professional services environment

Work Environment
This role is primarily office-based and requires regular in-person attendance. You'll work in a professional environment with frequent interaction among staff, clients, vendors, and project stakeholders.
